# Sending email with the Mailer essentials app

The Mailer essentials app sends the transactional email of a Laioutr project, such as contact requests, order confirmations or the confirmation of receipt from the Legal app. Mail goes out through an SMTP account or services such as SendGrid, Amazon SES or Mailgun.

## Configuration

| Field | Purpose | Where to find it | Required | Per environment |
| --- | --- | --- | --- | --- |
| `Host` | SMTP server hostname, for example smtp.example.com. | Email provider or IT | Yes | No |
| `Port` | Usually 465 (implicit TLS) or 587 (STARTTLS). Port 25 is often blocked. | Email provider | Yes | No |
| `Secure / TLS` | Implicit TLS (true, typical for 465) or STARTTLS (false, typical for 587). | Email provider | Yes | No |
| `Username` | SMTP login, often the full email address. | Email account | Yes | No |
| `Password` | SMTP password or, for Gmail and Microsoft 365, a dedicated app password. | Email account, security settings | Yes | No |
| `From address` | Default sender address, such as noreply@yourdomain.com. Must be allowed to send through the account. | Team decision | Yes | No |
| `From name` | Optional display name shown next to the sender address. | Team decision | No | No |
| `Reply-To address` | Optional address that replies go to, such as support@yourdomain.com. | Team decision | No | No |

The **Mailer** is the essentials app for sending email from the frontend. Typical cases are contact forms, order confirmations, password resets and the confirmation of receipt for revocations through the Legal app.

It is built on Nodemailer, so practically any delivery route works: in most cases an **SMTP** account, alternatively SendGrid, Amazon SES, Mailgun, or Microsoft 365 and Google Workspace through OAuth2. HTML and plain-text bodies, attachments and DKIM signing are supported.

### Deliverability

For mail to reach the inbox instead of spam, the sender domain needs **SPF**, **DKIM** and, for production, a **DMARC** policy. The team sets these records at the DNS provider, not in the app.

The Mailer covers technical sending. Newsletters, templates in Studio and further channels such as SMS and WhatsApp come with Notifyr.

## Step by step

1. 1 ### Step 1: Collect credentials

Gather host, port, TLS setting, username, password and sender address of the SMTP account. For Gmail or Microsoft 365, generate a dedicated app password.
2. 2 ### Step 2: Prepare DNS

Add SPF and DKIM for the sender domain at the DNS provider and create a DMARC policy.
3. 3 ### Step 3: Install the Mailer

Open **Apps** in Cockpit, choose the **Mailer** essentials app and select **Install**.
4. 4 ### Step 4: Enter access details

Enter the collected details in the app configuration. Include the provider's sending limits and whether the account is sandbox or production.
5. 5 ### Step 5: Send a test email

Send a test message to the test address and check both the inbox and the spam folder.
6. 6 ### Step 6: Connect use cases

Contact forms and the Legal app then use the Mailer for delivery. Test one run per use case.

## Check the result

The test email arrives in the inbox, shows the correct sender name and reply address, and the mail header shows SPF and DKIM as pass.

## Frequently asked questions

Which port is the right one?

Usually 465 with implicit TLS or 587 with STARTTLS. The TLS setting has to match the port. Port 25 is often blocked.

Why does the regular account password not work?

Providers such as Gmail or Microsoft 365 require a dedicated app password for applications. Generate it in the security settings of the account and enter it in the Mailer.

Can an email service be used instead of SMTP?

Yes. SendGrid, Amazon SES, Mailgun, and Microsoft 365 or Google Workspace through OAuth2 are supported.

When is the Mailer enough and when is Notifyr needed?

The Mailer sends transactional email. Newsletters, templates in Studio and channels such as SMS and WhatsApp are what Notifyr is for.
